General & Scope

What exactly does PetroDATA do?+

We develop end-to-end fuel automation for construction sites and industrial facilities: refueling control per machine and vehicle, real-time tank-level tracking, theft/leak prevention and central reporting. We also bring the entire site operation onto one platform with workshop, car-wash and logistics software.

Do you also offer solutions for retail fuel stations?+

Our focus is businesses that consume their own fuel: construction sites, mines, concrete plants, factories, ports, logistics fleets and generator-dependent critical facilities. In export projects, station automation may be considered secondarily.

Which industries do you serve?+

Construction & sites, mining, concrete plants, logistics & fleet, factories & industrial zones, ports and critical facilities (data centers, hospitals, GSM towers) are our main industries.

Do you develop the hardware and software yourselves?+

Yes. We develop both the field hardware and the management software ourselves (at our Mersin R&D center). This way, every piece of field data flows uninterrupted to the central panel and we can adapt the solution to your needs.

Is it suitable for a small business too?+

Yes. It scales from a single-site/facility installation to a multi-location corporate structure. You can start at a single point and expand the system as you grow.

Which solution do most start with?+

The most common start is tank + pump automation and vehicle-recognized refueling at a single site. As needs grow, multi-location central management and fleet modules are added.

Installation & Commissioning

How long does installation take?+

The time depends on the size of the site and the number of points. A single tank/pump site is usually commissioned quickly; multi-location corporate installations are planned in phases. We share a clear schedule after the survey.

Can it be installed on our existing tanks and pumps?+

Our hardware can be integrated with most existing tanks, pumps and dispensers. During the site survey, the existing infrastructure is examined and an appropriate installation plan is drawn up.

Does it work on sites without power and internet?+

Yes. Field units can operate offline; data synchronizes with the center once a connection is available. Solar power and GSM communication options are available for remote sites.

Will our operation stop during installation?+

We plan the installation to disrupt your operation as little as possible. In most cases, mounting is done without stopping your refueling flow for long.

Can you install a mobile / container-type station?+

Yes. We install turnkey mobile and container-type fuel stations; it is a fast solution for remote or temporary sites.

Is our team trained after installation?+

Yes. During commissioning, we train your field and office teams on system use, reporting and panel management.

Can you install multiple sites at the same time?+

Yes. Multi-location projects are run with a phased installation plan; each site connects to the central panel as it is commissioned.

What infrastructure is needed for installation?+

Basically a tank/pump point and (where possible) power and communication access are sufficient. On sites lacking these, we install off-grid with solar power/GSM.

Hardware & Compatibility

How does vehicle identification work?+

An RFID tag or vehicle-identification unit is assigned to each vehicle/machine. No fuel flows to an unregistered vehicle; every refueling is booked automatically to the relevant vehicle.

How do you measure the tank level?+

Fuel level is measured continuously by a level probe fitted to the tank and transmitted to the panel in real time. An automatic alert is raised at critical levels.

Does it support different fuel types (diesel, gasoline, AdBlue)?+

The system can be configured to work with different fuel types. The appropriate hardware and meters are selected during the survey according to your needs.

Is it durable for harsh field conditions?+

Our hardware is designed with harsh field conditions such as dust, humidity and temperature in mind. The protection class is chosen according to the application.

Do you have hardware for mobile tankers too?+

Yes. By integrating a meter and vehicle-identification system into mobile tankers, we also record field refuelings with vehicle, liter and location data.

Can we use our existing RFID cards?+

In many cases the existing card/tag infrastructure can be evaluated. Compatibility is checked during the survey; if needed, our standard tags are defined.

If the hardware fails, does refueling stop?+

The system is designed to prioritize keeping operations running in critical scenarios. Our service team responds quickly; maintenance contracts provide priority support.

How many vehicles and operators can be defined?+

An unlimited number of vehicles and operators can be defined; it scales as your fleet grows without additional licenses.

Software, Panel & Reporting

How do we access the panel?+

You can access the central management panel from anywhere via the web. In a cloud (SaaS) installation, access is provided from any internet-connected device; in an on-premise installation, over your company network.

What reports can we get?+

Consumption per vehicle/machine, tank stock movements, liter/hour efficiency, cost and reconciliation reports are available. Reports are exportable and audit-ready.

Can you do liter/hour analysis per machine?+

Yes. By correlating consumption and operating data per machine, we can produce liter/hour and efficiency analyses.

Are alerts raised for anomalies and leaks?+

Yes. An automatic alert is raised for situations such as unauthorized refueling, unusual night movements, sudden level drops and the exceeding of defined thresholds.

Can multiple users and permissions be defined?+

Yes. With role- and permission-based access, the head office sees all sites while site managers see only their own.

Can we track from a mobile device?+

The panel is mobile-friendly; you can view real-time stock, consumption and alerts from a phone or tablet.

How long is our data kept?+

Historical movements and reports are archived; the retention period and backup policy are set according to the installation model (cloud/on-premise).

Is there a central view for multi-site companies?+

Yes. The data of all sites and facilities is gathered on a single central panel; consolidated reporting and comparison are done.

Integration & Regulations

Does it integrate with our ERP system?+

Yes. By integrating with ERP systems such as Logo, Mikro, Netsis and SAP, we reconcile fuel movements with your accounting.

Does it work with vehicle-tracking (GPS) systems?+

Integration with fleet-management and vehicle-tracking systems is possible; consumption and location data can be evaluated together.

Do you ensure U-ETDS and e-Waybill compliance?+

Our transport & logistics software is U-ETDS compliant; we support keeping records that comply with regulations in fuel and shipment processes.

Do you help with record obligations for excise-exempt/reduced fuel?+

The system makes fuel movements traceable and reportable, easing the tracking of such obligations.

Is there integration with payment/POS systems?+

Depending on the application, integration with payment and card systems can be evaluated; the need is clarified during the survey.

Can we export our data?+

Yes. Reports can be exported in formats such as Excel/CSV; data sharing via API is also possible.

Can we have a custom integration built with our own system?+

Yes. With our Mersin R&D team, we can develop custom integrations and modules for your needs.

Security & Leak Prevention

How do you prevent fuel theft?+

No fuel flows without vehicle identification; every refueling is recorded. Unauthorized withdrawals, overfilling and abnormal movements raise an alarm. This prevents unrecorded withdrawals.

Is there protection against operator manipulation?+

Refuelings are matched with operator and vehicle data; situations requiring manual intervention are logged and limited by authorization.

Can we see night or off-hours movements?+

Yes. All movements are recorded with a timestamp; alerts can be set up for defined off-hours activity.

Does it prevent overfilling?+

Overfilling risks are reduced with defined limits and level control; an alert is raised when a threshold is exceeded.

How is the security of our data ensured?+

Data is protected with authorized access. For organizations with strict data-security policies, an on-premise installation option is offered, where data remains entirely within the company.

Can you detect a leak or seepage?+

Inconsistencies in level and movement data (unexpected drops) are monitored, providing early warning for possible leaks/seepage.

Does the system help us in audits and inspections?+

Yes. All refueling and stock movements are kept as audit-ready, traceable digital records; it eliminates the mess of manual slips/Excel.

Calibration, Maintenance & Support

How is calibration done?+

The meter, tank probe and dispenser are calibrated at installation and liter precision is guaranteed. Re-calibration is done periodically.

How quickly do you respond in case of a fault?+

Our service team responds quickly. Maintenance/support contracts provide priority response and a spare-parts guarantee.

Is there 24/7 support?+

Yes. We provide 24/7 support with remote monitoring, alerts and a technical support line.

Is a periodic maintenance contract mandatory?+

It is not mandatory but recommended. Planned maintenance safeguards the system's smooth operation throughout its life and uninterrupted operation.

Can you provide remote support?+

Yes. Many issues are resolved via remote connection and monitoring; a site visit is planned when needed.

How do software updates arrive?+

In a cloud (SaaS) installation, updates are applied automatically and instantly; in an on-premise installation, a planned update is done.

Do you also service and maintain pumps?+

Yes. We provide fuel pump and dispenser service, maintenance and spare parts; we ensure refueling on site continues uninterrupted.

Commercial & Business Model

Is it a purchase or a rental?+

Both are possible. You can choose a quick start with a cloud (SaaS) subscription model or an installation with an on-premise perpetual-license model.

How is pricing determined?+

Price is determined by the number of sites, points/pumps, vehicles and the desired modules. After a survey, we offer a quote tailored to your needs.

Can we get a demo?+

Is cloud or on-premise more suitable for us?+

If you want a quick start and low IT overhead, cloud; if data must remain entirely within the company under strict security policies, on-premise is suitable. We evaluate both and make a recommendation.

Do you work on projects abroad?+

Yes. We can provide field solutions in regions with intensive construction projects such as the Caucasus, Central Asia, the Gulf and beyond.

What are the contract and warranty terms?+

Hardware and installation are under warranty; maintenance and support terms are clarified by contract. Details are shared at the quotation stage.
